We have compiled a list of Frequently Asked Question's (FAQ's) to support Members with queries they may have regarding our closure.

Why is Pro-Action closing?

As with many charitable organisations we rely heavily on external funding. Since our formation in 2008 we have had significant support provided by Hertfordshire County Council which represented nearly 50% of our income. This was reduced by 67% for the financial year April 2019 to March 2020.  We had expected a reduction more in the region of 20% and had planned for this.  Such a dramatic cut left us with very limited options. Behind the scenes we have continued to apply for funding and seeking support from the community to keep our doors open, this has however been unsuccessful.

When will Pro-Action close?

The Trustees have set the date of 31st March 2020.

What will happen to my current membership?

Your membership will end on 31st March 2020.  Those with membership expiry dates beyond this period will be entitled to a pro-rata refund.

Our organisation is currently working on our First Steps or AQ Bronze award. What happens if Pro-Action closes?

We have been working closely with UK Youth, the organisation who run the programme.  They have agreed to provide support moving forwards and we are currently arranging what this support will look like.  UK Youth launched their refreshed standards towards the end of last year, so any organisations currently working on the old format will have a UK Youth imposed completion date of the 31st March 2020.  From this point onwards, only the new formats will be accredited

If you have already completed an older format, it will remain valid until your certificate expires.  You will then be introduced to the new format by UK Youth for re-accreditation.

We have signed up to receive a grant on completion of First Steps/Bronze award.  Will we still receive this?

Only members achieving their awards prior to Friday 20th March 2020 will receive a grant award.

 

I want to re-accredit Bronze / Silver / Gold - how do I do this?

UK Youth will provide advice and guidance on how to re-accredit at any level and offer support if needed. The standards have been refreshed and updated so will look slightly different to the programme previously.  We are continuing to negotiate with UK Youth about ongoing support and how to access it.

 

Where can our organisation gain advice and support in the future?

As a team we are working to identify as many places where you can get support in relation to running your groups/organisations successfully. Inevitably these won’t necessarily provide the same level or personal service that Pro-Action currently does.

How will I access a DBS checking service?

There are many online providers for completing DBS checks. One of our Members use Security Watchdog, part of Capita PLC. We suggest you ‘shop’ around and find the one that best suits your organisation. If you are affiliated to a governing body, they should be able to recommend one.

Unfortunately, we have found fewer options for completing paper DBS forms, which we know some Members prefer. The key ones in Hertfordshire are Council’s for Voluntary Services, often abbreviated to CVS’s. For more details check out your local area group.

What happens about my existing GBG and online DBS portal?

Good news, we have managed to negotiate with GBG and they have kindly offered that all existing members of GBG will be able to continue to use their service free of charge. This would normally cost £100.00 per organisation, so it’s pleasing that GBG have offered our Members this at no additional cost.

In order for you to get your subscription transferred over you will need to contact Ruth Wilson - ruth.wilson@gbgplc.com and she will sort the relevant paperwork out for you to have your account transferred. Please ONLY contact Ruth and not anyone else as she is in charge of this transfer.

In regards to dates, Pro-Action’s GBG account will remain open until Friday 28th Feb 2020. If you have any issues, please contact GBG directly after this date.  

We would suggest that you ensure that any applicant that needs verifying is done before Tuesday 31st March to avoid any confusion with your accounts been transferred over.

As Pro-Action closes on Tuesday 31st March, you will need to speak to Ruth before this date to get your account transferred. 

Where can we get Safeguarding advice & guidance?

Getting face to face advice is quite a challenge but these are the potential places to go:

What do I do when I have a Safeguarding referral?

You need to follow your organisations Safeguarding policy and procedure and then refer onto Hertfordshire Safeguarding Children Partnership. You need to use the electronic online email referral system, which is below. Your organisation will need to set an account up and sign in so we would suggest you do this in advance, so you are prepared for when you do need to make a referral.

How will we know about new legislation/changes and what I need to implement in my organisation?

You will need to sign up to a variety of sector relevant newsletters/ bulletins and keep up to date with Hertfordshire Safeguarding Partnership’s news.

Who can check our policies and procedures when changes & reviews are required?

Unfortunately, we have not found an organisation that can offer this service at present.

 

Where can we access training?

Pro-Action will continue to provide training until 28th March 2020. 

 

What will happen about the training I have booked/am thinking of booking?

A small number of courses have been cancelled due to low bookings.  Individuals already booked will receive a refund in due course.  Our remaining programme until 28th March 2020 will go ahead as planned, please see our website for confirmation of these.

What will happen to my data and information you hold about our organisation?

Pro-Action is reviewing all data that we hold and, subject to our legal obligations, removing anything that is deemed unnecessary or no longer required for ongoing activities. We will only keep information required for closing the charity. All data will be destroyed as outlined in our data protection policies. 

We have the Pro-Action logo on our website and printed flyers and leaflets. What will happen about this?

Please remove the Pro-Action Logo from all electronic sources by 31st March 2020, such as your website and all social media platforms. Regarding paper formats such as leaflets, please ensure that the Pro-Action logo is removed before re-printing. We understand that you will have things with the Pro-Action logo on until your quantities are diminished. 

 

Noodle Now:

If you have a Noodle Now account with us, we have managed to strike a deal with Noodle, and they will honour your subscription until 1st July 2020. This means thereafter you will not be registered with Noodle Now and if you wish to continue to develop your own or your staff’s CPD then please contact Noodle Now directly - ryan@noodlenow.co.uk. Please make sure that all your certificates have been downloaded and printed before the 1st July 2020, as once the account is closed, all data will be lost.
